Final Paper Instruction

The camera-ready manuscript for ICPADS 2025 should be submitted by October 31, 2025. To submit your camera-ready manuscript, click on "Edit" on your manuscript page in the HotCRP system . Please use the following mandatory checklist to ensure all publication requirements are met before the submission closure.

Checklist

  • Manuscript Revision Complete. The manuscript has been finalized and polished, addressing all comments and suggestions provided by the Reviewers.
  • Formatting and PDF Compliance. The manuscript adheres to the IEEE Conference Proceedings format and has successfully passed the validation check using IEEE PDF eXpress.
  • HotCRP Final Submission & Metadata. The final camera-ready manuscript has been uploaded to the HotCRP system. Ensure the author list, author affiliations, and country information in the uploaded manuscript and the HotCRP system are EXACTLY the same and in the correct order, as this will appear in the final publication.
  • IEEE Copyright Transfer. IEEE Copyright Transfer has been completed in the HotCRP system. A verification email will be received.
  • Registration Payment Complete. For each accepted paper, at least one Full Registration must be fully paid.

Formatting and PDF Compliance

  • Prepare in the IEEE double-column format using the IEEE Conference Proceeding templates .
  • Do not add any page numbering, header, or copyright footer (copyright information will be added by IEEE).
  • Go to the IEEE PDF eXpress Website.
    • Create an IEEE PDF eXpress account (use conference ID: 67057X)
    • Use IEEE PDF eXpress to check that your PDF file is Xplore-compliant, OR, else, you can use this site to convert your source files into an IEEE Xplore-compliant PDF file (e.g., for LaTeX users, create a zip file that includes dvi and your eps figure files all together, then upload the zip file for the system to convert it into a compliant PDF file).
    • Download the generated PDF file of your paper.

HotCRP Final Submission

  • Click on "Edit" on your manuscript page in the HotCRP system .
  • Upload your verified camera-ready pdf.
  • Please ensure that the paper title, author list, author affiliations, and author order are correct and exactly match the information in HotCRP. Any mismatch may affect the publication of your article.

Copyright Transfer

  • IEEE requires all authors or their employers who intend to publish in the IEEE Xplore Digital Library to provide an electronic transfer of the copyright using the IEEE Electronic Copyright Form (eCF).
  • Click on "Edit" on your manuscript page in the HotCRP system .
  • Click the IEEE Copyright transfer link in the system to access the IEEE Electronic Copyright Form. You will need to manually fill in your paper's metadata information.
  • Please ensure the article title, author names, author order in the Copyright form match exactly what appears in your PDF file
  • No paper will be published without the submitted copyright form.

No-Show Policy

  • All accepted paper should be presented at the conference by an author of that paper. Papers which are not presented or presented by a non-author without prior approval by the Conference TPC Chairs will be removed from the final conference proceedings before publication in IEEE Xplore®. No refund will be made to authors of these papers.
